AgendaVa❤️ Weather Policy

Our number one goal is to hold a safe and fun event that brings the vintage community together. Because our Vintage Events takes place outdoors, it is a weather dependent event.

Just like you, we don't like rescheduling our events, but it does happen from time to time, due to rain or extreme winds that are out of our hands.

Each of our events is planned and coordinated with multiple local partners, municipalities, and authorities, and we monitor the weather patterns from a weather station closest to our actual venue.

In the event that we need to reschedule an event, we do our best to announce the reschedule via email and/or social media within 24 hours of the event. This timeline can change if the weather seems to be moving out of the area and we need to watch it closer. All paid booth spaces will be automatically transferred to the new, rescheduled date.

Similar to a sporting event or concert, AgendaVA❤️ Events has a no refunds policy. This means that (if you purchase a vendor booth), in the event of a reschedule, you will qualify for a transfer or future credit, but you will not qualify for a refund.

We understand that it may be inconvenient for you to attend if the event is rescheduled to a new date. We do our best to give you options in this circumstances — in addition to offering future event credits, please find your other options below.

What kinds of weather events can impact a reschedule?

Because AgendaVA❤️ takes place at mostly outdoor venues, it is highly dependent on the weather. The weather factors we must consider are:

  • Rain

  • Lightning Strikes

What's our process for monitoring weather changes?

We monitor the weather patterns from a weather station closest to our actual venue starting 10 days prior to our scheduled event day.

If the weather looks clear:

We'll move forward with the event as planned and will watch for wind, rain, and weather changes daily as we get closer to the event.

If the weather looks uncertain:

  • 10 days before the event: Between 10 and 5 days before the event, we follow weather patterns, changes in rain coverage, and projected winds.

  • 4 days before the event: A few days before the event, we send out an email and and post on social media, letting our attendees know about the weather concerns. If the weather is bad and showing no signs of improvement, we may reschedule the event. We will continue to watch the weather, if there is a possibility of it improving.

  • 4-48 hours before the event: If the poor weather looks like it will not pass or will get worse, then we'll make a final call on the evening before the event (if not sooner). If the weather looks like it may still cooperate, we will watch it a little longer, sometimes on event day, before making a final call. Again, all participating vendors will receive email about the reschedule and we will post on our social media.

Our goal is always to give as much notice as possible if we do plan on postponing an event. We'll update you about any changes to our schedule first through social media and our website and then email everyone.
